1. Regulatory Context

This portal is operated for Green Community residents and governance activities in Dubai. Data handling is designed to align with applicable UAE and Dubai legal frameworks, including UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data, related implementing decisions, and Dubai Law No. 6 of 2019 on jointly owned properties and relevant RERA directions.

This document is an operational policy. Formal legal review by UAE-qualified counsel should be completed before final publication as the binding legal version.

2. Data We Collect

We may collect and process the following categories of information:

Identity and contact data: full name, email, phone number, area and unit assignment.

Verification records: ownership evidence you provide (for example title deed documents) and verification outcomes.

Account and security data: login metadata, password reset requests, session activity, and security logs.

Community interaction data: posts, comments, reactions, poll participation, and maintenance request submissions.

Administration and audit data: moderation actions, approval or rejection decisions, and committee/admin activity logs.

3. Why We Process Personal Data

We process data only for legitimate community management purposes, including:

Resident account registration, authentication, and verification.

Unit-level access control and resident roster management.

Communication of notices, maintenance updates, committee decisions, polls, and governance matters.

Community safety, fraud prevention, abuse detection, and legal compliance.

Operational analytics and service improvement, including trend monitoring of feedback categories.

4. Legal Bases and Consent

Depending on context, processing may rely on your consent, contractual necessity for portal services, compliance with legal obligations, and legitimate interests of community governance and property management.

Where consent is required, you may withdraw it; however, some features may become unavailable and certain records may still be retained where legally required.

5. Verification Documents and Sensitive Handling

Residency proof documents are used strictly for account eligibility and periodic re-validation. Access is limited to authorized committee or designated management personnel on a need-to-know basis.

Documents are stored in controlled infrastructure and are not disclosed publicly through the resident feed.

6. Comment Identity Display

Residents may control comment display mode in profile settings. Available options are: first name with unit number, or unit number only.

Committee and system administrators may still access underlying account identity for moderation, verification, legal, and compliance purposes.

7. Sharing and Disclosure

We may share data only where necessary with:

Authorized Owners Committee members and designated property management operators.

Technical service providers supporting hosting, authentication, database, email delivery, and security monitoring.

Competent regulators, authorities, or courts where required by law, regulatory request, or formal legal process.

We do not sell resident personal data.

8. Cross-Border Data Transfers

Infrastructure providers may process data in jurisdictions outside the UAE. Where applicable, we apply contractual and organizational safeguards to protect transferred data consistent with UAE requirements.

9. Data Retention

We retain personal data only for as long as needed for service operation, dispute handling, audit accountability, regulatory obligations, and legal defense.

Verification and audit records may be retained for longer periods where required for governance integrity or legal compliance.

10. Security Controls

We apply reasonable technical and organizational controls, including access controls, role-based permissions, session protections, and logging of privileged actions.

No platform can guarantee absolute security. Residents should protect account credentials and report suspected unauthorized access immediately.

11. Your Rights

Subject to applicable law and permitted limitations, you may request access, correction, update, deletion, or restriction of your personal data.

You may also request account closure; however, some records may remain archived where retention is required for legal, regulatory, or governance reasons.

12. Contact and Requests

Privacy and data-rights requests should be submitted to the Owners Committee through official Green Community communication channels.
